Truck Drivers Diary is your own record of your working day. You own what you put in it. This page explains what we hold, why we hold it and what you can do about it. It covers the app, the web panel at app.truckdriversdiary.com, this website, our early-access mailing list and enquiries sent through the contact form.

Who we are

Truck Drivers Diary is run by Craig Simpson, trading as Berryhillock, at [BUSINESS ADDRESS]. Berryhillock is the data controller for the information described here and is registered with the Information Commissioner’s Office under number [ICO REGISTRATION NUMBER].

What we collect

When you use the app or the web panel

  • Your account: your email address, the name you choose to show, and, if you sign in with Apple or Google, the identifier that Apple or Google gives us for your account. We never see your Apple or Google password.
  • Your diary: the shifts, breaks, trips, odometer readings, mileage, fuel fill-ups, vehicles, notes, reminders and useful numbers you enter, and any receipt photos you attach.
  • Location: where a shift or trip starts and ends, if you allow it. The app records a location only at those moments. It never tracks you in between.
  • Exports: the PDF and CSV files you ask the app to make, kept so you can download them.
  • Technical records: error reports when something goes wrong, and a count of a few actions (for example that a shift was started or an export was made) so we can see whether the app is being used. These do not include what you wrote in your diary.

When you join the mailing list on this website

  • Your email address, which form you used, and when you signed up, confirmed and (if you do) unsubscribed.

When you send us an enquiry

  • Your name, your email address, whether you are a driver, an agency or haulier, or someone else, your message, and when you sent it.

When you visit this website

  • We use Cloudflare Web Analytics to count visits. It sets no cookies and does not follow you across other sites. This website sets no cookies of its own.
  • When you start filling in a form, Cloudflare Turnstile checks that the form is being sent by a person and not a program. To do that, Cloudflare sees your IP address and technical details of your browser. It is not used for advertising.

Why we use it

  • Account and diary: to keep your diary, sync it between your devices and make your exports. Our legal basis is performing our contract with you.
  • Location at the start and end of shifts and trips: to fill in places for you. Our legal basis is your consent, which you give or refuse on your phone.
  • Error reports and action counts: to fix faults and understand whether the app is useful. Our legal basis is our legitimate interests.
  • Mailing list: to email you about early access. Our legal basis is your consent, which you confirm by email and can withdraw at any time.
  • Enquiries: to reply to you. Our legal basis is our legitimate interests in answering the people who write to us.
  • Website visit counts: to see which pages are read. Our legal basis is our legitimate interests.
  • The check on forms: to keep automated spam out of the mailing list and our inbox. Our legal basis is our legitimate interests.

We do not sell your information, and we do not use it for advertising.

Who sees your diary

Only you. Your employer or agency see nothing unless you choose to give them an export or send them a timesheet yourself.

We use a small number of companies to run the service. They handle your information only on our instructions:

  • Laravel (a Laravel VPS through Laravel Forge), which hosts our servers.
  • Neon (in London), which hosts our database.
  • PowerSync, which syncs your diary between your devices and our database.
  • [FILE STORAGE PROVIDER], which stores receipt photos and export files.
  • Mailgun (in the EU), which delivers sign-in links, mailing list emails and the messages you send from the contact form.
  • Sentry, which receives error reports. We strip diary contents out of these before they are sent.
  • PostHog (hosted in the EU), which receives the action counts.
  • Cloudflare, which serves this website, counts visits to it and checks that its forms are sent by people.
  • Apple and Google, if you choose to sign in with them.

Some of these companies may process information outside the UK. Where they do, we rely on the safeguards UK data protection law requires, such as the UK’s adequacy regulations or approved contract terms.

How long we keep it

  • Your account and diary: for as long as you have an account.
  • After you delete your account: your diary stops being available straight away and is permanently deleted, along with your receipt photos and exports, 30 days later.
  • Sign-in links: 15 minutes. Sign-in sessions: 90 days, then you sign in again.
  • Mailing list: until you unsubscribe. After that we keep only a note that you unsubscribed, so that we don’t email you again. Ask us if you want that removed too.
  • Enquiries: 12 months after you send them, then they are deleted.

Your rights

You can:

  • see and download your records at any time from Reports in the app or the web panel;
  • correct anything in your diary yourself;
  • delete your account from the Account screen;
  • unsubscribe from the mailing list using the link in any email we send;
  • ask us for a copy of everything we hold about you, ask us to correct or delete it, or object to how we use it, by emailing hello@truckdriversdiary.com.

We will reply within one month. If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk.

Children

Truck Drivers Diary is for working drivers. It is not intended for anyone under 18.

Changes to this policy

If we change this policy in a way that matters, we will tell you in the app or by email before the change takes effect. The date at the top of this page shows when it was last updated.
